We are seeking a proactive Executive Administrator to join our team, specializing in travel coordination and expense management for our C-level executives. The ideal candidate will have strong organizational skills, attention to detail, and the ability to handle confidential information with discretion.

Key Responsibilities:

  • Travel Coordination: Arrange domestic and international travel logistics for C-level executives, including booking flights, accommodations, ground transportation, and any necessary visas or travel documents.
  • Itinerary Management: Prepare detailed travel itineraries, including schedules, meeting arrangements, and contact information, ensuring executives are well-prepared for trips.
  • Expense Management: Manage and process travel-related expenses, including verifying receipts, coding expenses accurately, and submitting reimbursement requests in a timely manner.
  • Policy Adherence: Ensure compliance with company travel and expense policies, providing guidance to executives on allowable expenses and documentation requirements.
  • Communication Hub: Serve as a point of contact for executives during travel, handling last-minute changes, emergencies, and other travel-related issues effectively.

Qualifications:

  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • Minimum of 3-5 years of experience as an Executive Assistant or in a similar role.
  • Proven experience as an Executive Assistant, Administrative Assistant, or similar role, with a focus on travel and expense management.
  • Exceptional organizational skills and ability to prioritize tasks in a fast-paced environment.
  • Strong attention to detail and accuracy, especially in financial transactions and expense reporting.
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with executives and external contacts both in Thai and English.
